ClearHaul LLC ("ClearHaul," "we," "us," or "our") operates the website at www.clearhaul.app and the ClearHaul compliance platform. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to that information.

By using our website or platform, you agree to the practices described in this policy.

1. Information we collect

Information you provide directly:

Email address submitted through the demo request form
Contact information provided during account setup or sales conversations
Driver and carrier data uploaded to the platform by broker customers (including CDL images, medical certificates, driver's license images, and related compliance documents)
Payment information processed through our payment provider (we do not store payment card numbers directly)

Information collected automatically:

IP address and browser type when you visit our website
Pages viewed and actions taken on the website
Device and operating system information

Information from third-party sources:

Carrier and driver data retrieved from FMCSA, OFAC, BIS, and state DMV databases as part of compliance screening services

2. How we use your information

To respond to demo requests and sales inquiries
To provide and operate the ClearHaul compliance platform
To perform carrier and driver compliance screenings on behalf of broker customers
To send renewal reminders and compliance alerts as configured by broker customers
To improve our services and develop new features
To comply with legal obligations

3. How we share your information

We do not sell your personal information. We may share information with:

Service providers: AWS (infrastructure), SendGrid (email delivery), Twilio (SMS), Formspree (contact forms), and Clerk (authentication). These providers process data on our behalf under data processing agreements.
Compliance data sources: FMCSA, OFAC, BIS, and state DMV systems are queried to perform screening services.
Legal requirements: We may disclose information when required by law, subpoena, or other legal process.

4. Driver and carrier compliance data

ClearHaul processes personally identifiable information about drivers and carriers on behalf of our freight broker customers. This data — including CDL images, medical certificates, driver's licenses, motor vehicle records, and FMCSA PSP records — is processed solely for the purpose of providing compliance screening services to the broker customer who uploaded or requested it.

Broker customers are responsible for obtaining any necessary consent from drivers and carriers for the collection and processing of their information in connection with pre-employment screening and ongoing compliance monitoring.

5. Data retention

Compliance certificates, gate check records, and audit logs are retained for a minimum of seven years to support legal defensibility in the event of litigation. Driver credential documents are retained for the duration of the broker's subscription and for two years following termination. Demo request emails are retained until the contact requests deletion.

6. Security

We use industry-standard security measures including AES-256 encryption at rest for all stored documents, TLS encryption in transit, SHA-256 cryptographic sealing of compliance records, and NIST-timestamped audit logs. Access to data is restricted by role-based access controls.

7. Your rights

Depending on your location, you may have rights to access, correct, or delete personal information we hold about you. To exercise these rights, contact us at jamie@clearhaul.app. We will respond within 30 days.

8. California residents (CCPA)

California residents have the right to know what personal information we collect, to request deletion of their personal information, and to opt out of the sale of their personal information. We do not sell personal information. To make a request, contact jamie@clearhaul.app.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will notify active customers of material changes by email. The effective date at the top of this page reflects the most recent revision.
